ISO 9001 Quality Management at UK Bailiff Services Ltd
UK Bailiff Services Ltd operates under a documented Quality Management System (QMS) that has been designed in line with ISO 9001:2015. Our QMS covers all key areas of our work – from Commercial Rent Arrears Recovery (CRAR) and lease forfeiture, to trespasser removal, process serving and statutory demands – and is focused on legal compliance, consistency and continual improvement.
This page summarises our ISO 9001 QMS and how it supports our clients, suppliers, enforcement agents and the public. The full internal QMS manual is available to contracted clients on request.
Why ISO 9001 Matters
Our ISO 9001-aligned QMS is designed to:
- Provide a clear, consistent way of delivering enforcement and legal support services across England & Wales.
- Demonstrate to landlords, letting agents, housing providers and local authorities that we follow audited processes.
- Reduce errors in notices, evidence and reporting, and improve complaint handling and resolution.
- Support legal and regulatory compliance (TCE, TCOG, CRAR, LPA 1925, CPR, Data Protection Act 2018).
- Drive continual improvement in response times, communication, safety and client satisfaction.
Who Our QMS Is Designed For
ISO 9001 requires us to identify all interested parties and understand what they need from us. Our QMS is built around the needs of:
- Clients: landlords, property managers, housing providers and local authorities.
- Debtors & occupiers: who must be treated lawfully, fairly and respectfully.
- Regulators: including the ECB, MoJ, HMCTS and the ICO.
- Subcontracted enforcement agents & contractors: who require clear instructions and standards.
- The public: affected by how we manage safety and conduct during enforcement.
Scope of Our Quality Management System
Our QMS covers the following areas:
- Commercial Rent Arrears Recovery (CRAR) & Taking Control of Goods enforcement.
- Commercial lease forfeiture (Section 146 Notice drafting, service & peaceable re-entry).
- Traveller & trespasser removal from private land under Common Law.
- Rough sleeper/tent occupier engagement and departure (welfare-led process).
- Statutory demands & process serving (Civil Procedure Rules).
- Horse trespass notices, microchip checks & welfare-based removal.
- Coordination of locksmiths, recovery vehicles, and hazardous waste teams.
- All administrative, evidence-handling and client communication processes.
How Our ISO 9001 Processes Work
All instructions follow a consistent workflow:
- Instruction check: authority, documentation completeness, correct legal basis.
- Allocation: matched to competent CEAs and specialist contractors.
- Controlled templates: notices and reports use approved, version-controlled wording.
- KPI monitoring: attendance, reporting times and evidence upload tracked.
- Evidence retention: all records kept securely for at least six years.
- Complaints & corrective actions: issues investigated and used to improve processes.
Competence & Enforcement Agents
We verify competence through:
- CEA certification checks.
- Insurance validation.
- Experience review.
- Performance and evidence checks.
- Job-specific briefings.
Suppliers & Contractors
We onboard and review contractors based on:
- Insurance & relevant licensing.
- Response times & reliability.
- Quality of evidence.
- Annual performance reviews.
Continual Improvement & Certification
- Internal audits.
- Management review meetings.
- Analyzing complaints & feedback.
- Updating workflows as legislation changes.
We follow a four-stage path to certification: build the system, implement it, audit it internally, and then undergo external certification with a UKAS-accredited body.
